Inventory and purchases
Buy from suppliers, receive goods into stock with the cost price updated, follow restock suggestions and dead stock, and count your shelves.
Inventory lives inside Accounting. Switch on the Inventory part in Accounting settings (one tool slot). Its tabs are Overview, Purchases, Suggestions, Dead stock, Stocktake, Labels and Stock history.
Purchases: buy from a supplier#
A purchase records what you buy. Receiving it adds the goods to your stock and updates the cost price; what you have not paid yet is owed to the supplier.
Text version of the diagram
- Purchase draft to Receive goods
- Receive goods to Stock and cost price updated
- Receive goods to Unpaid part owed to supplier
- Stock and cost price updated to Sold: cost reaches profit
- 1
Open Accounting > Inventory > Purchases and click New purchase
A new purchase starts as a Draft.
- 2
Pick the Supplier
Choose one of your suppliers from Due, or press Add supplier.
- 3
Add goods
Scan or search a product, then set Quantity and Unit cost. Only products that track stock can be bought here.
- 4
Add an Extra cost if any
Carriage, duty or loading is added to the total and spread over the lines by value, so each unit costs a little more.
- 5
Optionally pay now
Fill Amount paid now and Paid from. Leave it empty to pay later.
- 6
Click Receive goods and confirm
Your stock and cost prices are updated. This cannot be undone, and a received purchase's lines can no longer change.
Statuses are Draft, Received and Cancelled. Use Pay to record a later payment (up to what is Still to pay). A draft with a payment cannot be cancelled; receive it and settle with the supplier instead.
Suggestions and dead stock#
- Suggestions lists best sellers of the last days that are running low. Suggested = sold minus available, never below 0. Add to purchase or Add all to a purchase starts a purchase.
- Dead stock lists goods that have not sold for a number of days (Days without a sale), so you can see money sitting still. A product that never sold counts from the day it was added.
Count and label#
Stocktake lets you count stock against the records, Stock history shows every change and Labels prints barcode labels.
Common problems#
"Pick a supplier from your Due suppliers."
Add the supplier as a party of kind Supplier in Due first.
A product is missing from the purchase.
It does not track stock. Turn stock tracking on for that product first.
"The total cannot be less than what is already paid."
Raise the lines or the extra cost, or record the payment correctly.
