Cash matcher

Count the cash each day and see whether it matches what your records say should be there: matched, short or over.

2 min readLast updated 23 Oct 2026

The Cash matcher compares the cash you really have with the cash your records say should be there. It works out the expected figure for you, so you only count and type one number.

Before you start#

Switch on the Cash matcher part in Accounting settings (one tool slot). Record your day's expenses and make sure the cash account is right in Money accounts.

What the expected figure is#

The expected cash is the cash account's balance at the end of the day: the day's opening, plus Money in (sales, dues collected), minus Money out (expenses, refunds), plus or minus transfers. The page shows it under Should be there, with the opening, the money in and the money out, and the Last count.

Do the count#

  1. 1

    Open Accounting > Cash matcher

    Choose the Day.

  2. 2

    Look at Should be there

This is what your records say.

  3. 3

Count the drawer and type the total in Counted (taka)

Type 0 for an empty drawer. Add a Note if you wish, for example "change given from the drawer".

  4. 4

    Press Save the count

The result is Matched, Short (less than your records) or Over (more than your records), with the Difference.

ResultMeaningWhat to check
MatchedNothing missing, nothing extraNothing
ShortThere is less than the records sayUnrecorded expenses, change given, a wrong entry
OverThere is more than the records sayA sale not recorded, a refund recorded twice

Common problems#

The expected figure looks wrong.

Check the day's entries in Payment > Movements: a payment filed under a different account, or an expense not recorded, changes it.

I counted twice by mistake.

The first saved count stays. Use the note on the next day's count to explain it.
