Due: who owes you and whom you owe
Keep a ledger of customers who buy on credit and suppliers you owe, settle amounts into a money account, and read the history.
Due keeps one ledger per party. A party is a customer who owes you or a supplier (wholesaler) you owe. The page has two totals: They owe you and You owe.
Before you start#
Switch on the Due part in Accounting settings (it takes one tool slot).
Add a party#
- 1
Open Accounting > Due
Click Add party.
- 2
Choose Who is it
Customer or Supplier (warehouse).
- 3
Enter the name and optional phone and note
You can Link to a customer by searching your customers by name or phone. Their orders stay where they are; the link only ties the two together.
- 4
Enter what is already owed
Already owed takes a direction (They owe me or I owe them) and an amount, or choose Nothing yet.
- 5
Save
You see Party added.
Where dues come from#
| Source | How it appears |
|---|---|
| Opening amount | Already owed |
| A manual entry | Due added |
| An order | From an order: when you create an order with Due (pay later) in New order |
| A purchase | From a purchase: what you have not yet paid a supplier |
| A settlement | Settled |
| A correction | Taken off |
Settle a due#
- 1
Open the party
Use Open on its row.
- 2
Press Settle what they owe or Settle what I owe
For a customer, the money comes into the account you pick. For a supplier it goes out of the account.
- 3
Enter the amount
Whole amount fills it all. You cannot settle more than is outstanding.
- 4
Pick the Money account and press Settle
The movement is booked on that account and the history shows Settled.
Take an amount off corrects a due entered by mistake; the earlier rows stay in the history. Archive hides a party, and Restore brings it back; an archived party cannot get a new due.
Common problems#
"More than is outstanding now."
Reload and try a smaller amount; the due may have been settled elsewhere.
Due (pay later) is missing in New order.
Due is switched off. Turn it on in Accounting settings. The customer's mobile number is required.
I need a statement for a party.
Open Reports and print the Party statement.
